Site launches, decommissions and updates

Site Launch

These steps explain the process for launching a new site at a specific subdomain, such as webservices.asu.edu. This will include how to request a site launch and what to expect during and after the launch process. If you are just getting started building a new website and will be utilizing Webspark*, please use ET’s other resources for the web.

*Note: If you are part of Knowledge Enterprise, The College, or Fulton Schools of Engineering, you will likely create your new site on their corresponding Acquia stack (not the Webspark stack). Please coordinate with your internal web teams in addition to these directions, as they may have unique processes. 


Launch request form

  1. Open the Acquia Site Launch request form.
    You can raise this request on behalf of yourself or a colleague, whoever you’d like to receive correspondence about the site launch.
  2. Review delivery timeline and pre-launch steps.
    Your site launch could be delayed if your site does not meet all of the criteria listed in the pre-launch steps. You’ll need to submit your request at least 3-5 business days ahead of time to allow for a developer to review your site and schedule the launch.
  3. Indicate if your site is on Webspark.
    If your site is under a separate stack, please select "other".
  4. Select an ideal launch date and time.
    Business hours are 8am-5pm Arizona time, Monday through Friday. Please select a time within those hours. The ET web team will do their best to accommodate your requested time.
  5. Select an Acquia Hosting plan.
    If your site is replacing an existing site, select the current hosting plan. If it is a new site, you can select any plan for now. Acquia hosting plans will be adjusted based on page views reported from Acquia.
  6. Fill out site name, URL, and approved subdomain.
    List the site’s name in the Acquia Site Factory interface, the Site Factory URL (it will looks something like this http://<sitename>.asufactory1.acsitefactory.com/), and the approved subdomain* your site should be launched at.
  7. Accept the conditions and submit the form.
    You've submitted your site launch request! Once your request has been submitted, the ET Web Team will receive a JIRA ticket in our queue. We will review your request and reach out on the ticket with any questions or concerns if it isn’t meeting web standards or other requirements.

*Note: All subdomains and sub-subdomains on the asu.edu domain require approval. You can find more information and request approval for a subdomain on the brand guide site.

 

Site launch process

Once your site is approved for launch, we’ll get it scheduled. You’ll receive an automated message with the scheduled time.

The actual launch process typically takes 30 minutes to an hour, depending on the complexity. If you are replacing an existing site with a new site, you may notice a brief period of downtime during the transfer.

Once your site is live, we will update you on the JIRA ticket to make sure it's meeting your expectations. Please reach out on the launch ticket or submit a new support ticket if you have any concerns or questions that pop up. 

Site decommission

If your Acquia site is no longer needed, ET Web team can decommission it, removing the paid plan and associated subdomain. Your site content will still be accessible for some time as a sandbox site at (http://<yoursitename>.asufactory1.acsitefactory.com/).


Decommission request

 

  1. Open the site decommission request form.
    The Technical contact should submit this request, if they do not we will reach out to them to verify the request.
  2. Fill in the details.
    Please list the site name, as it appears in the Acquia Site Factory dashboard, the desired decommission date, and reasoning.
  3. Your ticket is created and reviewed.
    Once your request has been submitted, the ET Web Team will receive a JIRA ticket in our queue. We will review your request and reach out on the ticket with any questions or concerns.
  4. Your decommission is scheduled
    We will schedule the decommission as close to the requested date and time as possible. You’ll receive an automated message with the scheduled time.
  5. Site decommissioned
    Once the site has been taken down, we will notify you via the ticket. You will still be able to access the site content on your sandbox site for some time. If this is needed, please include it in your request.
